Share tasks with other users

Do you use exchange server in your office?  Are you part of a team attempting to get a project done?  Use tasks in Outlook to keep track of who is doing what, what is done, and what needs to be done.


Several people working in one model can sometimes add a little complexity (although completely managable) to the workflow of a production schedule.  If you have several people attempting to complete a list of tasks, this can sometimes require dividing up red lines, multiple coordination meetings to make sure you aren't stepping on each other's toes.  This is't the ACAD world anymore, you can't just open a sheet and work on the file and not affect what othe rpeople are doing.  The 'One Model' approach for Revit means that something you do can affect (good or bad) what someone else has done/is doing.

Something I have used in the past is create a custom folder of tasks within outlook, then I type out all the things that need to be done on a project.  I share this task list with my other Revit modelers on the project (it sends them an email) and give them full permissions to it.  They can then see this task list within Outlook like the tasks were their own.  When they complete a task, they can mark it with the checkmark and lets everyone else know that particular task is complete.  You can also mark a task as 'In progress', so that someone else doesn't start working on it if you already are.

Using this workflow there is always an updated list of what needs to be done on a project and what can be done, and anyone who wants to can see the results and status of each individual item.  No more downtime waiting for someone to get back from a meeting, or not wanting to disturb someone.  Make yourself and your team more efficient and reduce downtime.

Just like any new workflow, this does require a new process to get used to, which like anythign new can be met with resistance.  But, if you think it will work, give it a try!
